Expensefy (Expense Tracking, Budgets & Receipts on Trello)

Tired of spreadsheets? Expensefy puts the money on the cards you already have. Log expenses on a card, read the totals off the board without opening anything, set a budget and watch what is left, repeat the bills that repeat, and attach the receipt to the line it belongs to — all inside Trello.

Simply list your expenses and amounts

Our Power-Up automatically sums up all the expenses for you at the top of the card. Each expense carries a name, an amount, a date, a category, a note and a credit or debit type — everything you need later, and nothing to configure first.

See your spending at a glance

Credit, debit and net totals appear on the card front, so a whole board of cards adds up without you opening a single one. Totals are recalculated as you type — there is no formula to maintain and no second place to update.

Track expenses as a checklist

Switch a card from an expense list to a checklist with a progress bar, and tick each item off as it is actually paid. Useful for anything you settle one payment at a time — a project budget, a trip, a set of supplier invoices.
expense checklist

Create your own expense categories

Group spending with categories you define rather than a fixed list somebody else chose. Type a new category once and it is saved for the whole board, ready on the next card and on the dashboard breakdown.
new-category

Call credit and debit whatever you call them

Rename credit and debit to match how your team talks: Inflow and Outflow, Income and Cost, In and Out. Eleven presets on each side, or type your own words — every total, chart, badge and export follows the names you chose.

Assign custom colors to each expense

Easily customize the color of card badges or smart fields to visually organize and differentiate expenses at a glance, on the card and across the whole board.

Visualize spending with charts

Doughnut, pie, line and bar views of a card's spending, one click from the card back. See where the money went by category and how it moved over time, without exporting anything first.

Powerful filtering by date

Filter expenses by date range to see exactly what you're spending. The totals follow the filter, so you can answer "what did this card cost last quarter" without deleting or archiving a single row — then clear it and everything comes back.

Filter expenses by category (debit or credit)

You can filter the expenses by debit and credit. Easily filter transactions for clear insights, and combine it with the date range when you need one specific answer.

Easily update an expense on the card

Updating an expense on the card is completely easy and simple. Click the line, change what you need, and every total, badge and chart follows immediately.
update-expense

Delete an expense from the list

Easily delete any expense from the list to keep things nice and simple. If the expense has a receipt attached, Expensefy asks whether the file should go too.

Budgets, and what is left to spend (Pro)

Set a target for the board and a target for any individual list. Expensefy shows what has been spent against it, what remains, and turns the figure a warning colour the moment a list runs over. The remaining amount sits on the card back, next to the spending it measures, rather than behind a settings screen — and clearing a target puts everything back exactly as it was.

Every expense on the board, in one dashboard (Pro)

One screen for the whole board: a totals strip, a breakdown by category with a chart, a breakdown by list, a month-by-month trend, and the full list of rows with clickable card names. Filter by date range, category, type and list — the charts, the tables and the export all follow the filter, so what you export is exactly what you are looking at.

Recurring expenses (Pro)

Rent, retainers, salaries, subscriptions: enter them once. Set an expense to repeat weekly, every 2 weeks, monthly, quarterly or annually, and choose how it ends — never, on a date, or after a set number of occurrences. Each occurrence lands in the list as an ordinary expense you can still edit or delete on its own.

Receipts attached to the expense, not just the card (Pro)

Attach an image or a PDF to a single expense line, so the paperwork sits on the row it proves and travels with it into the export. Receipts are stored as ordinary Trello attachments, uploaded straight from your browser with your own Trello account — the file never passes through our servers.

A total for the whole list, not just the card

Every card also shows what the Trello list it sits in has spent, so a list of client cards, trip cards or campaign cards adds itself up without you opening each one.

Add and manage your own currencies

Choose a default currency for the board from 20+ options or add your own, and override it on any single card. On a board that really does mix currencies you set the exchange rates yourself, and the date they were set is shown beside every converted figure — so last month's total is still the same number next month. Where a total mixes currencies with no rate set, Expensefy shows the parts instead of printing one number that would be wrong.
new-currency

Hide credit and debit from the card face

Hide the credit and debit summary from the card face to make the board look clean, without giving up the totals inside the card.
hide-credit-debit

Choose exactly which badges appear

Card badges, card detail badges and the net summary badge can each be switched off independently. A board that wants the numbers on every card gets them; a board that wants a clean front stays clean.
hide-card-badge

Export a card to an Excel sheet

The list is exportable as an Excel spreadsheet for your reporting convenience. No need to retype your list or remember to open or update your linked Google Sheet or Excel spreadsheet — and every row carries its currency and a link to its receipt.
export-card

Export every expense on the board (Pro)

All the expenses on the board can be exported to an Excel sheet easily, exactly as you have filtered them on the dashboard — so the spreadsheet you send to finance is the view you were just looking at.
export-board

Dark and light mode

Expensefy follows your Trello theme. Every screen — the card back, the charts, the dashboard and the settings — is built for both, so nothing glares at you at the end of a long day.

Free to start, and your data is never held hostage

The free plan needs no card and gives you 5 expense cards with unlimited expenses on each, plus totals, badges, categories, labels, colours, currencies, charts, filters, checklist mode and card export. Pro adds unlimited expense cards, the board dashboard, whole-board export, budgets, recurring expenses and receipts. Reaching the free limit only removes the Add Expense button on brand-new cards: it never hides an expense you have already entered, never disables an edit, and never blocks an export.

How much does Expensefy cost after the trial?+
